Associate Manager Operations - Nashville, TN

The Associate Manager, Operations is responsible for implementing the span of operations associated with resource and supply management for the purpose of attaining customer satisfaction and the objectives set forth by The Resource Group, a subsidiary of Ascension Health Alliance.  Responsibilities include ensuring that the hospital is provided with consistent, high quality, and cost-effective operations with respect to procurement, purchasing, inventory, warehouse operations, receiving, and supply distribution functions. Works with other operational leaders to develop, implement, and monitor goals, policies, and procedures.  Assists in the preparation of long and short-term goals and objectives for supplies and services requirements in coordination with the Ministry and System Office operational initiatives.  Serves as an in-house consultant for operational functions.  Provides metrics to all members of the hospital to document performance and effectiveness of the operations associated with supply chain.  Carries out all responsibilities in accordance with the organization and Health Ministry Values, applicable policies, procedures, and civil laws, and the Corporate Responsibility Program.

  • Accountable for supply chain operational activities overseeing a minimum of annual departmental expenses of $2.5 million and inventory value of $250,000. 
  • Ensures coordination and implementation of all supply contracts with The Resource Group
  • Supervises operational direct reports, provides a format for growth and development of supervisors and oversees all activities of hospital supply chain operations staff.
  • Oversees management of all inventory management and requesting processes

Responsibilities

Manages the operational functions, specifically focused on the following:

  • Manages compliance with The Resource Group operational processes and initiatives.
  • Monitors and reports monthly on operational progress using The Resource Group (as well as Health Ministry specific) metrics.
  • Provides for minimal inventory levels while maintaining maximum scope of product category inclusion with dual focus on Main Store Room and Operating Room.  Assures that asset levels are monitored, measured, and reported annually.
  • Oversees all materials handling processes throughout the hospital, ensuring consistent provision of Nursing, Surgery, Ancillary department, and all other clinical and non-clinical departments with agreed upon levels of supply inventories and that all products are of acceptable quality.
  • Manages operational performance and maintains adherence to established budget guidelines for respective departments.
  • Manages the professional growth and development of all direct reports. Actively manages staff personnel and assures that each is treated with respect and fairness and that each is provided with tools and knowledge to perform their duties.
  • Assists all customers in obtaining supplier, product and pricing information. 
  • Serves as a collaborator of each hospital’s Decision Team and/or other committees as required.

Exercises responsible stewardship of finance and human resources.

  • Acts as a supporting resource to Finance, for all supply, service, and capital expense related needs.
  • Measures and reports operational metrics on departmental/ministry levels and participates in benchmarking on a regional and national level.
  • Prepares and submits budgets on all materials management cost centers in a timely manner and in accordance with instructions from the budget office.
  • Operates department operated within budget parameters consistent with volume variances.
  • Justifies budget variances as necessary.
  • Authorizes overtime prudently and monitors as required.
  • Monitors and adjusts supply costs, staff mix and productivity to achieve optimum use of resources. 
  • Mandatory inservices attended by staff.

Supports quality service through proper organization, staffing, resource utilization and work allocation within the department.

  • Proper training and training materials and written policies and procedures are provided to all new associates.  Follow up training and education is conducted at least annually.
  • Departments staffed with qualified associates with appropriate mix of skills to assure quality service standards.
  • Work structured to accomplish quality service objectives.
  • Tasks delegated to efficiently get the job done while maintaining quality of service.
  • Procedures established to monitor processes, tasks, or job activities and responsibilities of subordinates.
  • Supplies and equipment for associates to complete their job are provided within the control of the director.
  • Patient safety goals are monitored with corrective action implemented when indicated.
  • Performance improvement activities are developed to monitor, evaluate and promote improvements in the quality of services provided by the department. 

Achieves and maintains professional development and competence in the field of management.

Qualifications

  • The position requires a Baccalaureate degree (or equivalent experience).  An educational focus in business, business administration, health administration, marketing, engineering, logistics, supply chain, or operations is preferred.  A Master’s degree is preferred.
  • Two (2) years experience in healthcare supply chain, purchasing, healthcare, or other closely related field is required.   Computer skills required, supervisory experience, supply chain legacy operating system experience is preferred.
  • Knowledge of The Joint Commission (TJC), Occupation Health and Safety Association (OSHA) and Department of Health guidelines and regulations are extremely important

Customer Care Specialist - Nashville

The Customer Care Specialist will be the first line of supply chain assistance for vendors and Health Ministries (HM). This position will develop and maintain tools to assure timely and accurate communication from Supply Chain Management to HMs and vendors. The Data Steward champions Master Data Management focusing on business benefits, fostering the goal of data re-use, and articulates the strategic significance of consistent, accurate and reliable information to executives and associates.


The Data Steward will partner with the System Office (SO) Master Data Management Governance Team and the Ministry Service Center (MSC) Master Data Services (MDS) Team to strengthen data management practices at his/her Health Ministry leading to quality enterprise master data for SO cost accounting, reporting and corporate business analytics.

Responsibilities

  • Monitors overall data quality for assigned data elements.
  • Ensures the appropriateness of their Health Ministry’s requests; researches whether element already exists to meet the requirements of the request; internally vets requests cross functionally with their Health Ministry prior to submission.
  • Acts as a “gatekeeper” for their Health Ministry to ensure all information required is gathered, accurate and complete prior to submitting the request to the MSC MDS team.
  • Serves as liasion for/to their Health Ministry for the Master Data Management Governance Team and/or the MSC MDS team.
  • Supports Symphony program delivery and the Master Data Management Governance Team in their efforts to define, adopt, and execute data management processes
  • Identifies and reports data quality issues, related to uniqueness, integrity, accuracy, consistency, and completeness in a timely fashion. Collaborates with Master Data Management Governance and MSC MDS team to manage and resolve identified data quality issues
  • Participates in regularly scheduled and ad hoc Data Steward meetings, forums, work groups, and educational sessions
  • Participates in training and meetings to facilitate the sharing of data across functional areas and understanding of stewardship best practices
  • Monitors use of the MDM Hub by their Health Ministry stakeholder to maintain local codes relating them to PeopleSoft codes using the Symphony Crosswalk Lists
  • Communicates Master Data Management process, practices and expectations to their Health Ministry stakeholders
  • Maintains the local data needed to ensure the accuracy of the procure‐to‐pay process
    • Performing maintenance (add, changes, inactivates) of items, vendors and contracts in the legacy purchasing systems, legacy accounts payable systems, as well as in PeopleSoft in accordance with Data Governance Standards.  Obtaining from the CRO and maintain documentation of approvals for each maintenance request.
    • Ensuring that all legacy values  to PeopleSoft value Crosswalks are maintained daily in the MDM Crosswalk for SCM data values
    • Responding to all requests of the MSC for data verification prior to changes being made in the item, vendor or contract masters by the MSC team (e.g., item additions, contract changes, pricing verifications, and issue resolution). This is in accordance with the procure‐to‐pay governance model.
    • Engaging with local staff to resolve all AP Vendor accounts payable issues.
    • Monitoring proactively via reports and analysis to ensure the local values and Peoplesoft values are synchronized
  • Maintains other SCM Master Data (e.g. locations, POBUs, INVBUs) to ensure proper reporting in financial reports and the MIC.  Obtains from the CRO and maintain documentation of approvals for each maintenance request.
  • Maintains the linkage of SCM to Revenue Cycle
    • Engaging with the local chargemaster teams and clinical department leaders to ensure that the actual acquisition cost is being captured and charged for each chargeable supply by ensuring the alignment/mapping of an item number with a CDM number at the discrete level (specific to mfg, mfg catalog number)
    • Ensuring that maintenance is requested and received to allow for appropriate charges to be entered before the patient bill is issued (e.g. 3 days).
  • Provides subject matter expertise to the Data Governance Council
    • To develop the Data Standards and Rules for SCM Master Data
    • To determine appropriate data values (e.g. Standard UOM) when conflict arises

Qualifications

  • A Bachelors degree is required with five to seven years applicable experience demonstrating increasing responsibilities.

Manager of Operations - Nashville

Implements the span of operations associated with supply chain and resource management for the purpose of attaining customer satisfaction and the objectives set forth by the Area Leader and Ascension Health Supply Chain.  Assures that the hospital is provided with consistent, high quality, and cost-effective operations with respect to procurement, purchasing, inventory, warehouse operations, receiving, and supply distribution functions. Responsibilities

Manages the operational functions, specifically focused on the following:

  • Manages compliance with Ascension Health operational processes and initiatives.
